Booking Terms and Conditions MSPA EA 2026

In connection to the attendance of the general meeting / conference of MSPA EA - 19-21 May 2026

• Early Bird fees are available until March 19th, 2026. After this date a late registration supplement of Euro 125 is added to the early bird registration fees.

• Fees are per person, in Euro's and excluding VAT to cover costs made by MSPA to organize our general meeting/conference. 

• After registering members will be sent an invoice as of end of March, 2026, which must be paid within 3 weeks after receipt. For late registrations the payment should be confirmed before the conference starts. 

• The contribution of costs / fee includes:

• FULL two-day fees are including all sessions on both days, Welcome reception & Dinner on Tuesday, informal dinner on Wednesday, coffee/tea breaks & lunches during the 2 main conference days, access to the Mobile Event App and all presented materials. Posibility to include 1 extra person to the organisaed side activities for accompanying partners and are charged for an additional fee.

• ONE-day fees (*) are including sessions on the dsay of your preference (1 day), informal dinner on Wednesday, coffee/tea breaks & lunch during 1 conference day, access to the Mobile Event App and all presdented material. However excluding the Welcomes Reception/Dinner Tuesday, which you can add separately during your registration.

• Delegates who prefer to register only for the Side Events are charged a €300,- administration fee (Non members €500) and need to pre-book at least 1 of the social dinners to make the registration complete. No access to the conference area, meeting rooms, foyer, vendor area and social events that are not pre-booked are included. 

• Optional activities; closing dinner on thursday May 21st, 2026, social activity for Wednesday May 20th, 2026 and extra tickets to social events are not included in the main conference fee and will need to be pre-registered via MSPA Europe/Africa (Online registration form) and are charged for an additional fee.

• Due to increasingly inflexible payment terms provided by conference venues & suppliers, MSPA EA accepts written requests for cancellation up to 14 days in advance of a scheduled MSPA event. 

  • No costs if cancellation is received before March 19th, 2026;

  • Cancellation as of March 19th, 2026 and before April 19th, 2026 50% of the total registration amount will be charged for administrative purposes.

  • Cancellation as of April 19th, 2026 and before May 1st, 2026 75% of the total registration amount will be charged for administrative purposes.

  • If cancelling after May 1st, 2026 the full attendance fee will be charged.

• In the event of cancelling your registration a colleague from your company could always attend in your place.

• In the event of exceptional circumstances, MSPA EA may, at its sole discretion, consider a written request for cancellation, provided it is received no later than 1 business day after the scheduled event. A written independent verification of the event must be attached. However, cancellation fees will be charged in all circumstances.

• The only exception to these terms and conditions is in case of force majeure; in such event, where MSPA EA cannot reasonably be expected to perform the scheduled event, MSPA EA will communicate the permitted options to the affected members/participants. In the event of force majeure (for example war, public unrest, close to civil war, strikes, epidemics, natural disasters) MSPA EA holds the right to cancel the event in full, reschedule to another date or reschedule the live conference to a virtual conference. Damages and costs third parties, resulting from the action of force majeure circumstances will never be compensated by MSPA EA to members/delegates (like flight tickets, hotel costs, etc).

• Travel en hotel accommodation are not included to your contribution fee and need to be arranged inidividually. Hotel reservations can be booked directly to the Alicante Golf Hotel; please complete the online reservation form which is published at the MSPA Europe/Africa website to directly book your accommodation with the Alicante Golf Hotel.

• The Alicante Golf Hotel, have blocked a limited number of hotel rooms until March 19th, 2026 for a special MSPA hotel rate and conditions. After this date rooms are only available on request and the MSPA room rates & conditions are not guaranteed anymore.
